We have a new role reporting into the Group Corporate Secretary within the Group Legal Function. The function has an oversight of 10 countries across the APAC region across all business units.

 

Responsibilities

  • Provide a full range of legal, secretarial, clerical and administrative support to the Group Legal Function
  • Perform general filing, edit, review, proofread, administrative support and organisational assistance e.g. copying, scanning, sorting through historical and current legal / corporate secretarial documents, letters, minutes, memorandums, agreements, contracts, reports, vendor onboarding, process billing and invoices etc.
  • Assist and support in all corporate matters / exercises / group expansion including fund raising, due diligence process etc.
  • Assist and support on notarisation, legalisation and apostilisation of documents
  • Process, distribute and circulation of documents for signatures effectively
  • Renaming, reorganisation and maintaining files, folders, documents and internal database (largely digitally)
  • Record and monitor deadlines, update status and tracking internal database/reports
  • Plan, schedule and coordinate logistics for appointments, meetings etc.
  • Handle ad-hoc administrative duties and assignments

 

Requirements

  • Meticulous, organised, detailed and deadline oriented with the ability to handle confidential information and prioritise work
  • Diploma/Advanced Diploma/Degree in relevant field, Business Administration, Business Management or Law
  • Proficiency in of MS Office applications
  • Minimum 2 years’ experience in managing, organising, document management for corporate records and filings for companies, subsidiaries and branches
  • Relevant experience in legal/corporate secretarial firms or in-house
  • Propose change within local team to continuously improve the efficiency and effectiveness of the service
  • Strong interpersonal and communication skills; team player
  • Strong time management skills, self-motivated and able to work independently in a fast-paced environment with minimal supervision
