What you’ll be doing

If you’re an experienced, ambitious project manager who is ready to create a marketing operations practice from the ground up, this role is for you. 

The Cleo marketing team has grown quickly and project management duties have fallen on individual team members, diverting attention from their primary roles. As a business, we are ready for truly integrated marketing campaigns, and smoother support of larger company initiatives, but we can’t do it without a strong marketing operations lead.

We’re looking for a proactive, detail-loving, gantt chart-building project manager with proven strategies, templates and ideas for scaling fast without breaking (too many) things. 

We need someone with experience in a highly regulated industry (eg healthtech, fintech or insurtech) with a strong understanding of the legal and compliance impact on marketing operations. Experience as a project manager in advertising firms or marketing organizations is also a must.

This is an IC role, reporting to the Chief Marketing Officer. And while the role is fully remote, the ideal candidate is located in the Eastern time zone, since our team (and company) has many employees in London. 

About you

You are a chaos-slaying dragon. There is no cat you can’t herd, no detail left unexamined.

You would love nothing more than to build a project management practice utilizing all the best tools, templates and strategies you’ve collected from your experience in the startup world. 

Your key responsibilities include

  • Leading projects from requirements definition through deployment, identifying schedules, scopes, budget estimations, and implementation plans. 
  • Coordinating internal and external resources to ensure that projects adhere to scope, schedule, and budget.
  • Working closely with legal and compliance teams by submitting and tracking marketing projects through their process.
  • Ensuring always-on creative delivery is prioritized and delivered according to regular cadence. 
  • Managing the creative testing process, to make sure assets are delivered on time in the right formats for testing.
  • Analyzing project status and, when necessary, revise the scope, schedule, or budget to ensure that project requirements can be met
  • Leading the planning, execution, and delivery of projects within budget, timeline, and quality standards.
  • Developing and refining project scopes, goals, and deliverables that support business goals in collaboration with senior management and stakeholders.
  • Identifying and managing project dependencies and critical path, adjusting schedules and targets on the project as needed.
  • Coordinating and facilitating communication across project teams and stakeholders to ensure alignment and visibility.

Qualifications

  • 5+ years of project management experience, with at least 2 years in a leadership role within a high growth company.
  • Proven track record of successfully managing large, complex projects from conception to completion.
  • Demonstrable success at maximizing efficiency, mitigating risks, and maximizing resource utilization.
  • Excellent communication and interpersonal skills, with the proven ability to engage and work with key stakeholders across all levels of the organization.
  • Solid organizational skills, including multitasking and time-management (semi-obviously). 
  • Strong analytical and problem-solving abilities. You’re proactive. You’re known for getting sh*t done.
  • Expert in project management software tools (Jira is a must, AirTable is a strong plus).
  • PMP, PRINCE2, or equivalent project management certification preferred.
