Position: Senior Executive Assistant

Location: In-office, Mountain View, CA

About the Role

As the Senior Executive Assistant, you will be a trusted partner to our CEO, CPO, and other executives. Working closely with the Office of the CEO, this high-visibility position requires someone who can manage complex tasks while representing the leadership team with professionalism and poise. You’ll interact with board members, senior executives, and employees across all levels, ensuring smooth operations in a fast-paced, dynamic environment. This role reports directly to our Chief People Officer and requires an onsite presence at our Mountain View, CA office five days a week. While Moveworks values in-person collaboration, we understand that life can sometimes require flexibility.

 

Key Responsibilities:

• Build trust and anticipate the needs of the CEO, CPO, and other executives, offering proactive and strategic support.

• Take ownership of executive calendar management, ensuring optimal time prioritization aligned with key business initiatives.

• Coordinate with external Executive Assistants on quarterly board meetings, ensuring seamless scheduling and logistics.

• Assist in planning and organizing both on-site and off-site events, such as executive briefings, board meetings, team events, and internal dinners.

• Manage complex domestic and international travel arrangements, including itinerary planning, booking, and providing on-call support as needed.

• Prepare and manage detailed monthly expense reports.

• Continuously seek opportunities to improve and streamline administrative processes and workflows, fostering greater efficiency.

• Collaborate with cross-functional teams across the organization to ensure alignment and execution on key priorities.

• Support a wide variety of tasks with an “all-hands-on-deck” attitude, stepping in wherever necessary to ensure the success of the executive team.

 

What you bring:

  • 5+ years of experience as an Executive Assistant, supporting C-level executives in a fast-paced, high-growth environment.
  • Exceptional organizational skills and attention to detail, with a proven ability to manage multiple priorities simultaneously.
  • Advanced proficiency with Google Workspace (Gmail, Calendar, Google Docs, etc.).
  • Strong ability to adapt and thrive in an ever-changing environment while remaining proactive, resourceful, and flexible.
  • A high level of discretion and confidentiality when handling sensitive information.
  • A proactive, results-oriented mindset, with a passion for tackling challenges head-on.
  • A collaborative spirit and a willingness to build relationships across the company, from peers to senior leadership.
  • Outstanding communication skills and the ability to deliver on both strategic and tactical tasks with minimal supervision.
  • An eagerness to learn, grow, and contribute to a dynamic, forward-thinking company culture.
