About the Role
We are seeking a highly organized and proactive Business Operations Coordinator to support our Operations & Strategy Lead in scaling our operations and executing strategic initiatives. The ideal candidate will assist in strategic planning, financial management, operational oversight, team development, stakeholder engagement, and the promotion of innovation and technology adoption for the benefit and smooth functioning of the AI Simulation team. In this role, you will assist in the day-to-day operational functions that enable the AI Simulation business and technical teams. You will be involved in a combination of administrative support, project management, process improvement, and cross-departmental coordination. Ideally, you are detail-oriented, and thrive in fast paced, tech-driven startup environments.
What You’ll Do
- Assist with planning, execution, and tracking of key operational projects impacting corporate and functional teams (ex. R&D, Finance, HR)
- Oversee project budgeting and financial observability, monitoring key metrics
- Support the execution of strategic projects, including project coordination and progress tracking.
- Support business unit wide process improvement initiatives and collaborate with division heads for design and implementation
- Manage technical vendors for software licenses, ensure access to research tools, and coordinate with IT and DevOps groups for approval and adoption
- Help develop and monitor KPIs/OKRs to track operational performance and drive continuous improvement.
- Perform data-driven analysis for operations monitoring and improvements
- Assist with designing and maintaining onboarding and training programs, ensuring alignment with administrative and scientific roles.
- Support internal communication, ensuring fluid information flow across the team.
- Ad hoc project management support for high impact research projects
- Administrative support to operations team and senior leadership including organizing x-functional meetings (e.g. all-hands), organizing corporate events, and related travel arrangements
About You
- Bachelors in technology, business, operations, or equivalent with 3-5 years of relevant experience in operations related roles or Masters with 1-3 years of relevant experience in scientific, chemical or physics disciplines
- Strong organizational, analytical, and problem-solving skills.
- Excellent organizational and communication skills with attention to detail and strong sense of personal responsibility/ownership
- Analytically minded with a skill to connect seemingly unrelated information and ideas, and different technical specialties from various technical stakeholders
- Proficient in financial management, project tracking software, and the ability to interpret financial data.
- Ability to manage multiple projects and meet tight deadlines in a fast-paced environment.
- Proficiency in Microsoft Office365 products or equivalent (Word, Excel, Powerpoint)
- Comfortable working both independently and as part of a team in a fast paced startup environment
- Enjoys problem solving and execution
- Familiarity with programming languages is a big plus
- PMP and/or CSM is nice to have but not required
The US base salary range for this full-time position is expected to be $117k - $163k per year. Our salary ranges are determined by role and level. Within the range, individual pay is determined by factors including job-related skills, experience, and relevant education or training. This role may be eligible for annual discretionary bonuses and equity.
