Executive Assistant to the CEO (Remote)

What you'll be working on

As an Executive Assistant, you will support our founder and CEO. Your responsibilities will include involvement in all aspects of our startup and its day-to-day operations. This is the perfect position for one with a strong interest in learning entrepreneurship and leadership beyond an assistant role.

  • Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements.
  • Reply to emails, send follow-ups and create internal and external communications.
  • Conduct research and prepare reports, memos, and other documents as required.
  • Manage travel & expenses.
  • Organize events, including team meetings, conferences, and webinars.
  • Help support with payroll, accounting, and reporting.
  • Coordinate and prepare materials for meetings, investor updates, memos, conferences, and presentations.
  • Organize and prioritize incoming correspondence, including email, phone calls, and messages.
  • Liaise with internal and external stakeholders, ensuring efficient communication and collaboration.
  • Assist with special projects and initiatives as needed.
  • Handle sensitive and confidential information with discretion.

What are the requirements?

  • At least 2 years of experience as an executive assistant or similar role, preferably supporting C-level executives.
  • Exceptional organizational and time management skills, with the ability to manage multiple tasks and priorities simultaneously.
  • Strong written and verbal communication skills, with a high level of professionalism and discretion.
  • Experience with calendar management, travel arrangements, and meeting coordination.
  • Ability to work independently, remotely, and adapt to rapidly changing priorities.
  • Proactive problem-solving skills, with keen attention to detail.
  • Demonstrated success in a fast-paced, dynamic work environment.
  • Internet connection: 10 Mbps minimum
  • Willingness to work full-time (40 hours/week) at a time that suits your client (often PH evenings)
  • Proficiency in Google Suite (Gmail, Calendar, Drive, Docs, Sheets, Forms, Slides) and productivity and project management tools/apps
  • A charismatic can-do attitude
