Administrative Back Office Support Specialist

What You’ll Do

  • RMA Processing:
    • Receive and review RMA requests from customers, ensuring all necessary information is provided
    • Coordinate the RMA process, including issuing RMA numbers, creating shipping labels, and tracking returns
    • Work closely with the logistics team to ensure timely and accurate processing of RMAs
    • Maintain accurate records of RMA requests and returns in our database
  • Billing Support:
    • Address customer inquiries related to billing, invoices, and payment processing
    • Investigate and resolve billing discrepancies or disputes in a timely manner
    • Collaborate with the finance department to ensure accurate billing and payment processing
    • Generate and send invoices to customers as needed
  • Documentation and Reporting:
    • Prepare and maintain detailed documentation related to RMA processing and billing inquiries
    • Generate reports on RMA status, billing inquiries, and resolution times
    • Assist in analyzing data to identify trends and areas for process improvement
  • Customer Communication:
    • Provide clear and courteous communication to customers regarding RMA status, billing inquiries, and resolution updates
    • Ensure timely responses to customers via all existing and future channels
  • Team Collaboration:
    • Collaborate closely with various internal teams to ensure a seamless customer experience
    • Escalate complex issues to the appropriate team members or departments for resolution

You 

  • Have a high school diploma or equivalent; Bachelor's degree preferred
  • Have previous experience in administrative support or customer service roles, preferably in a technical or IT-related field - Advantage
  • Possess strong organizational and time management skills
  • Have excellent communication and interpersonal skills
  • Are proficient in using customer support software and ticketing systems - Advantage
  • Have attention to detail and the ability to maintain accurate records
  • Are able to quickly learn technical concepts
  • Are able to work independently and as part of a team
  • Have strong problem-solving skills and a commitment to customer satisfaction

Nice to Have 

  • Technical familiarity with HW and Cloud computing
  • Experience in the machine learning or computer hardware industry

Salary Range Information 

Based on market data and other factors, the salary range for this position is $50,000-$70,000. However, a salary higher or lower than this range may be appropriate for a candidate whose qualifications differ meaningfully from those listed in the job description.
