How You’ll Contribute:

As Office & Operations Manager for WellSaid, you will be the primary ambassador for our team and our space. You will be a crucial partner to our CEO in navigating competing priorities and goals through strategic time management and support. You will own, create, and protect the cadence and schedules of our leadership, and serve as primary liaison to our Board of Directors.  You will act as an empathetic and trusted partner to support general WSL operations; you will take ownership of the day-to-day management and upkeep of our office space.

This role provides operational and facility support to our team and Seattle office (50% time). You will:  

  • This is a hybrid role, and a consistent in-office presence is required for 3+ days/week, with the ability to flex based on business needs. Our office is located in Kirkland. 
  • Manage office operations, including inventory management (office supplies and company-branded apparel), catering/meal order for meetings, deliveries, and assisting guests
  • Model  company culture, build trusted relationships, and cultivate transparent communication 
  • Help plan and implement team building initiatives (Wellness Initiatives, Team Events, Annual Team Off-Sites)
  • Maintain company Wiki (via Notion) with contributions from various teams to ensure content is always current
  • Maintain organization of Google Drive  
  • Manage company-wide calendar, including adding or adjusting monthly or weekly meetings
  • Partner with other teams in the org  for ad hoc projects in support of long-term initiatives 
  • Support and provide a positive office experience to ensure all needs are met (access, general office amenities, liaise and manage communications with Property Manager)

In support of our CEO and general leadership operations (50% time), you may also:

  • Manage the scheduling and coordination of leadership team meetings. Provide cadence and structure to weekly schedules; facilitate internal meetings and coordinate follow-up actions from individual team members based on meeting outcomes. 
  • Support the CEO in the editing/compilation of pitch decks and board presentations
  • Serve as a first point of contact for our Board of Directors. This may include communications via email, phone, or other media.
  • Assist individuals with booking travel and accommodations as needed; adjust schedules and calendars to reflect travel information and availability

What We’re Looking For: 

To thrive in this role, you ideally have supported team members in an administrative or project coordination role at a fast-paced organization. You are comfortable interacting with all types of communication styles and levels of team members, both internally and externally. You have outstanding communication and organizational skills; strong attention to detail, and thrive on creative problem-solving. 

You also have some combination of the following: 

  •  4+ years of experience working at a startup or fast-paced company 
  • Experience communicating in a professional and accurate nature 
  • Comfort with G-Suite (Google docs, Gmail, etc.); experience editing and proofreading documents and presentations  
  • A can-do "make it happen" attitude: you are comfortable making decisions with little supervision or direction ( instinct and knowledge to select a path forward even if the right answer or mission is unclear)
  • Sense of humor and ability to go with the flow
  • A solid understanding of operations fundamentals, or previous startup experience
  • Experience completing complex projects on time and within budget
  • (Bonus) Experience with Notion

As a technology company, we strive to be externally competitive with companies at a similar size and stage, and internally fair in our pay practices. The hiring salary range for this role is $68,000-$78,000 annually and represents the target offer range given the scope and experience expectations for this role.

  • An initial “phone” screen with our VP of People (30 minutes); if there’s a match we’ll schedule an interview loop with the team.
  • An Interview loop with 3-4 interviews (1 hour each) with the team members you will be potentially working closely with
